1. Our approach
1.1 We respect your privacy. This policy explains how we collect, use, disclose and protect personal information through circuitenergy.org (the Site), our membership plans and our dealings with clients and contacts. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth) as good practice, whether or not they apply to us by law.
2. What we collect
2.1 We collect only what we need, which may include:
(a) your name, job title, organisation, email address and phone number, when you contact us, book a call, subscribe or become a member;
(b) account details for members, such as login email, plan, Authorised Users and billing details;
(c) payment information, which is collected and processed by our payment providers (currently Stripe and PayPal). We do not see or store full card numbers;
(d) the content of messages and forms you send us; and
(e) technical and usage information, such as IP address, browser, device, pages visited and cookies, collected by our website platform (Wix) and its analytics tools.
2.2 We do not ask for sensitive information. Please do not send it to us.
2.3 You can browse the public Site without giving us your name. You cannot become a member or buy a plan anonymously.
3. How we use it
3.1 We use personal information to:
(a) respond to enquiries and book calls;
(b) provide memberships, reports, data and services, manage accounts and Authorised Users, and enforce our Terms of Use and licences;
(c) process payments, issue invoices and keep financial records;
(d) tell members about new editions, reports and changes to their plan;
(e) send you information about our services, if you have agreed or would reasonably expect it. You can opt out at any time using the unsubscribe link or by emailing us; and
(f) run, secure and improve the Site, and comply with the law.
3.2 Enterprise data packs carry the member’s name and a licence ID so that we can trace unauthorised copies. We keep a record of which licence ID was issued to which member.
4. Who we share it with
4.1 We do not sell personal information. We share it only with:
(a) service providers who help us run our business, including Wix (website, members area and forms), Stripe and PayPal (payments), Microsoft (email and file storage), Xero (accounting) and similar providers, under their own privacy terms;
(b) our professional advisers, auditors and insurers, in confidence; and
(c) anyone we are required or authorised by law to disclose it to.
4.2 Some of these providers store information outside Australia, including in the United States and other countries where their data centres are located. We choose established providers with appropriate security, but by using the Site you acknowledge that your information may be held overseas.
5. Cookies
5.1 The Site uses cookies set by Wix and its analytics tools to keep you signed in, remember settings (for example, that you have accepted the map disclaimer) and understand how the Site is used. You can block or delete cookies in your browser, but parts of the Site, including the members’ area, may then not work.
6. Security and retention
6.1 We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, including access controls, multi-factor authentication on our business systems and limited staff access.
6.2 We keep personal information only as long as we need it for the purposes above or as required by law (for example, financial records for at least five years), then delete or de-identify it.
6.3 If a data breach is likely to cause serious harm, we will notify affected people and, where required, the Office of the Australian Information Commissioner.
7. Access, correction and complaints
7.1 You may ask to see or correct the personal information we hold about you by emailing admin@circuitenergy.org. We will respond within 30 days. We may need to confirm your identity first.
7.2 If you have a privacy complaint, please email us with the details. We will respond within 30 days. If you are not satisfied, you may contact the Office of the Australian Information Commissioner (oaic.gov.au).
8. Changes and contact
